  • How to add a signature in Zoho Mail

    Add your email signature to Zoho Mail, link it to your From address, turn it on for replies and the mobile app, and fix a logo that recipients cannot see.

    Install your signature in Zoho Mail in one click

    1. Sign in to Signatoro and open your signature page.
    2. Under "Zoho Mail", click "Install into my Zoho Mail".
    3. Sign in to Zoho if asked, and approve access.

    Signatoro adds the signature to your Zoho Mail settings under the name "Signatoro" and sets it for new emails from the address you send from. From then on, every change you make reaches Zoho Mail by itself. To stop the updates, click "Disconnect" on your signature page; the signature stays in Zoho Mail as it is.

    Add a signature in Zoho Mail

    To add a signature in Zoho Mail, use Zoho Mail in a web browser:

    1. Log in to Zoho Mail and click the Settings icon.
    2. Go to "Signatures".
    3. Click the + icon to create a new signature.
    4. In the "Add Signature" popup, give the signature a name.
    5. Paste the signature into the editor.
    6. Under "Associated From address(es) for new emails", select your email address.
    7. Click "Save".

    Zoho Mail signature on replies

    To add your signature to replies in Zoho Mail:

    1. Click the Settings icon.
    2. Under "Signature for replies", select "Add signature to all my email replies".
    3. Open the signature in "Signatures" and select your address under "Associated From address(es) for the replies".
    4. Click "Update".

    In a reply, Zoho Mail can place the signature below your reply (above the quoted text) or at the bottom of the composer (below the quoted text).

    Zoho Mail signature in the mobile app

    The Zoho Mail mobile app takes its signature from the Zoho Mail web app. Set the signature up in a web browser as in "Add a signature in Zoho Mail", then sync the web settings to the mobile app manually. The signature is then added to email sent from the app.

    Why is my Zoho Mail signature not showing on replies?

    A Zoho Mail signature appears on replies only when "Add signature to all my email replies" is selected under "Signature for replies" in Settings. The signature also has to be associated with your address under "Associated From address(es) for the replies".

    Why doesn't my Zoho Mail signature appear automatically on new emails?

    A Zoho Mail signature is added to new emails only when it is linked to the From address you send from. In Settings > "Signatures", open the signature and select your address under "Associated From address(es) for new emails", then save. Zoho's help calls this associating the signature with the From address; without it, the signature has to be inserted by hand.

    Why doesn't my Zoho Mail signature show in the mobile app?

    The Zoho Mail mobile app uses the signature from the web app only after the web settings are synced to it. Zoho's help says to sync the web settings to the mobile app manually after creating the signature in the web app and associating it with your "From" address. Users report that the app keeps an old signature until the next sync, so sync again after every change.

    Why is the logo in my Zoho Mail signature broken for recipients?

    In Zoho Mail, an image in a signature created with inserted HTML must have a working public web address, or recipients cannot load it. Zoho's help says to insert an image saved on your computer as an inline image. Zoho Mail accepts GIF, JPG, JPEG, BMP and PNG images in signatures. A photo or logo uploaded to Signatoro is hosted at a public web address with a fixed pixel width, so Zoho Mail links to it from the web.

    Can I paste HTML into a Zoho Mail signature?

    Zoho's help says you can insert formatted HTML in a Zoho Mail signature with the "Insert HTML" option in the signature editor. A signature copied with "Copy signature" from Signatoro pastes already formatted. "Insert HTML" is the route for the raw code from "Copy HTML".

    Why can't I edit my Zoho Mail signature?

    A Zoho Mail signature set by your organization's administrator cannot be edited by you. Zoho's help says an admin-assigned signature is marked with a lock icon, and that you cannot associate a new signature with the address that has it. Ask your Zoho Mail administrator to change it.

    If you're an assistant setting this up on someone's behalf: these are the seven Settings > Signatures steps, in order. Replies get no signature until "Add signature to all my email replies" is selected under "Signature for replies" - select it unless the person has said otherwise.
