How to add or change your email signature in Gmail

If you already have a signature, copy it and follow the steps below. If you need one, make it free on Signatoro, then click "Copy signature", which copies it formatted, the form Gmail's signature box expects.

Add a signature in Gmail

To add a signature in Gmail, use Gmail in a web browser on a computer:

1. Open Gmail, click Settings (the gear) at the top right, then "See all settings".
2. On the "General" tab, scroll to "Signature", click "Create new", type a name for the signature and click "Create". The name is a label for you alone.
3. Paste the signature into the text box on the right.
4. In the signature defaults, choose the new signature for new emails and for replies.
5. Click "Save Changes" at the bottom of the page.

Change your Gmail signature

To change or update a Gmail signature you already have, open Gmail, click Settings, then "See all settings", and on the "General" tab scroll to "Signature". Click the signature's name, delete what is in the text box, paste the new signature, and click "Save Changes" at the bottom of the page. The signature defaults stay as they were.

How to add an HTML signature to Gmail

Gmail's signature box takes formatted text: Google's help describes a text box with a format bar for text colors, links and images, and no field for HTML code. An HTML signature goes into Gmail as the rendered signature, the way it looks in a browser, copied and pasted:

1. Copy the rendered signature. In Signatoro, "Copy signature" puts it on the clipboard formatted, with its layout, links and images. With a signature saved as an HTML file, open the file in a web browser, select the whole signature and copy it.
2. Paste it into the signature text box in Gmail's settings, as in the steps above, and click "Save Changes".

Images in the signature need a public home. Google lists three ways to add a signature image: the web address of an image that is publicly available on the web, a Google Drive image shared publicly, or an upload from your device. A photo or logo uploaded to Signatoro is already at a public web address, so it pastes in ready to show.

Pasting the HTML code itself puts the code into the signature as text, tags and all. Signatoro's "Copy HTML" button copies the code as plain text, for tools that take HTML; for Gmail, use "Copy signature". Gmail's "Remove formatting" button strips the signature's formatting, so leave it alone after pasting a designed signature.

A different Gmail signature for each address

Gmail keeps a separate signature for each address you send from with the "Send mail as" feature. In Gmail's "Signature" settings, pick the address in the drop-down menu, then choose its signature and its defaults. If Gmail shows no address drop-down, open the "Accounts and Import" settings page and check that the address is listed under "Send mail as".

Gmail signature in the Gmail app on a phone

The Gmail app on a phone uses the signature from the computer when the app has no mobile signature of its own. To keep the formatted computer signature, leave the app's mobile signature empty:

• Android: open the Gmail app, tap Menu at the top left, scroll to the bottom and tap "Settings", choose your account, then tap "Mobile signature". Leave it empty.
• iPhone and iPad: open the Gmail app, tap Menu at the top left, then "Settings", then "Signature settings" under "Compose and Reply". Turn "Mobile Signature" off.

With several "Send mail as" addresses, each address has its own defaults, so pick the address first.

Why does my Gmail signature show on the computer but not on my phone?

A mobile signature set in the Gmail app replaces the computer signature on every email sent from the phone. Google's help says that when no signature is created in the Gmail app, new messages use the signature set up on the computer. On Android, clear "Mobile signature" in the Gmail app's settings for your account; on iPhone and iPad, turn "Mobile Signature" off under "Signature settings".

Why is my Gmail signature hidden behind three dots?

Gmail can fold a signature below the message body, behind three dots. Google's help says to scroll to the bottom of the message and click "Show trimmed content" to see it. Users report that Gmail folds a signature it has already shown earlier in the same conversation, and that no Gmail setting turns this off.

Why does Gmail say my signature is too long?

Gmail allows up to 10,000 characters in a signature, and an image in the signature counts toward that limit. Google's help suggests resizing the image if saving gives an error. Users report that pasting from Word or Google Docs brings hidden formatting that pushes a short-looking signature over the Gmail limit. A signature copied from Signatoro fits well inside Gmail's 10,000 characters.

Why is my Gmail signature image not showing or too big?

An image added from Google Drive shows only if the file is shared with anyone who has the link, and it disappears from the signature if the file is deleted. Google's maximum for a signature image is 100 pixels high by 1000 pixels wide. After inserting an image, select it in the Gmail signature editor and pick "Small", "Medium", "Large" or "Original size". A photo or logo from Signatoro has a public web address and a fixed pixel width, so it pastes in at the right size; recipients who block remote images see it after they allow images.
