    How to set the Intercom email signature for your team and for Fin, fill in each teammate's details with attributes, add a logo, and why a signature is missing.

    If you already have a signature, copy its text and follow the steps below. If you need one, make it free on Signatoro, then click "Copy as text": Intercom's signature editor has its own logo upload and fills in each teammate's details with attributes.

    In Intercom, the email signature belongs to the business, one per brand. Every teammate's reply to an email conversation from the Inbox carries it, and so does every email reply from Fin, Intercom's AI agent. Attributes such as "Author name" and "Author job title" fill in the details of whoever sends the reply. Changing it needs the "can manage workspace data" permission.     Set your email signature in Intercom

    To set the email signature in Intercom:

    1. Go to Settings > Channels > Email > Email settings and scroll down to "Email signatures".
    2. Select "Customize default signature".
    3. Use the dropdown to select the brand the signature is for.
    4. Select "Edit".
    5. Upload your logo as a JPEG, PNG or GIF of up to 1MB, and choose its position and size.
    6. Paste the text of your signature into the text editor.
    7. Swap the person's details for attributes from the "{..}" symbol (see below).
    8. Check the preview and click "Save".

    Fill in each teammate's details with attributes

    Click the "{..}" symbol in the text editor to add:

    • "Author name" or "Author full name"
    • "Author job title"
    • "Author phone number"
    • "Author department"
    • "Author email"
    • "App name"

    Each teammate edits these details in their public profile: click your avatar in the menu, select your name, then click "Edit" below the public profile section.

    Intercom signature questions

    Does Intercom accept HTML signatures?

    Yes. The "+" icon in the text editor adds a button, code, a bulleted list, a numbered list or HTML. Paste the code from "Copy HTML" on Signatoro into an HTML block. That code carries one person's details, and Intercom shows the signature on every teammate's replies, so attributes in the text keep each reply's sender correct.

    How do I add a logo to my Intercom signature?

    Intercom takes one logo, a JPEG, PNG or GIF of up to 1MB, uploaded in the signature editor. It can sit above, below, left or right of the text. It starts 40 pixels high with its proportions locked, and the text wraps after 240 pixels. To replace the logo, hover over it and upload a new file.

    Does Fin use my Intercom email signature?

    Yes. Intercom says every email response from Fin shows your email signature, with the AI disclosure in a footer below it. Fin replies from the "Fin email address" set for each brand under Settings > Workspace > Brands.     Why is my signature missing from an Intercom email?

    Intercom adds the signature to replies to email conversations. A teammate's reply to a ticket goes out as an email notification, without the signature, and emails sent with Outbound go out without it too. If no reply carries a signature, check that the brand's signature still has text: deleting all of it turns the signature off.

    Can each teammate have their own signature in Intercom?

    Intercom offers one business signature per brand and fills in each teammate's details with attributes. For a personal sign-off, Intercom suggests each teammate create their own macro with their name and use it at the end of an email sent from the Inbox. For the mail your team sends outside Intercom, Signatoro's Company plan keeps everyone's logo, layout, color, font, review badge and booking button the same, and when the owner changes them, everyone gets an email with their updated signature to paste, priced by the size of the team.

    Can I set a different signature for each brand in Intercom?

    Yes. Under "Email signatures", select "Customize default signature", pick the brand in the dropdown, and select "Edit". Each email address connects to one brand.

    How do I update my Intercom signature after a change on Signatoro?

    Intercom keeps its own copy of the signature. After a change on Signatoro, copy it again, open the brand's signature, replace the text and click "Save".

    For agents

    If you're an assistant setting this up on someone's behalf: it needs the "can manage workspace data" permission. Use "Copy as text", go to Settings > Channels > Email > Email settings > "Email signatures" > "Customize default signature", pick the brand, select "Edit", paste the text, replace the name, title and phone with "Author full name", "Author job title" and "Author phone number" from "{..}", upload the logo, and click "Save". Repeat for each brand.
