How to add an agent signature in Zendesk
How to add your agent signature in Zendesk, set the common signature for all agents, add a logo with Markdown, and why a signature is missing.
If you already have a signature, copy its text and follow the steps below. If you need one, make it free on Signatoro, then click "Copy as text": Zendesk's agent signature takes text with Markdown.
A Zendesk agent signature has two parts. Each agent writes a personal signature in their profile, and an admin sets the common signature that wraps it for every agent. The personal signature appears only where the common signature holds the {{agent.signature}} placeholder, which Zendesk includes by default. For other help desks, see Freshdesk or Help Scout.
Add your agent signature in Zendesk
To add your own agent signature in Zendesk:
- In Zendesk Support, click your user icon in the upper-right corner and select "View profile" (some Zendesk pages call it "Manage profile").
- In the "Signature" text box in the left sidebar, paste the text of your signature.
Set the common signature for all agents in Zendesk
To set the signature that wraps every agent's own, as an admin:
- In Admin Center, click "Workspaces" in the sidebar, then select "Agent tools" > "Agent interface".
- In the "Signature" text box, keep
{{agent.signature}}where each agent's own signature should go, and add any shared text above or below it.
Zendesk also supports placeholders such as {{agent.name}}, {{agent.email}} and {{agent.phone}}, filled in from each agent's profile. On some plans, an admin can set a branded signature per brand under Account > Brand management > Brands.
Zendesk signature questions
Does Zendesk accept HTML agent signatures?
Zendesk agent signatures, common signatures and branded signatures take Markdown, and Zendesk lists HTML for triggers, automations, dynamic content and email templates only. Paste the text of your signature with "Copy as text" on Signatoro. To make your website a link, use Markdown: the words to show in square brackets, followed by the address in round brackets.
How do I add a logo to my Zendesk signature?
Zendesk adds an image to a signature with Markdown: an exclamation mark, empty square brackets, then the image address in round brackets. The image must sit at a public HTTPS address, since Zendesk cannot use an image saved on your computer. Zendesk suggests a PNG or JPEG between 5 KB and 50 KB, about 120 pixels wide by 40 high. A logo uploaded to Signatoro is hosted at a public HTTPS address, and "Copy HTML" carries that address in the image tag.
Why is my signature missing from a Zendesk reply?
Zendesk adds the agent signature to public replies made in the agent interface. Replies an agent sends by email, and email notifications sent by triggers and automations, go out without it. If no agent signature appears at all, ask an admin to check that the common signature still holds {{agent.signature}}.
Can I have more than one signature in Zendesk?
Zendesk gives each agent one personal signature. For more, Zendesk suggests macros, a branded signature per brand, or Liquid markup that shows different text to different agents.
Can I set one signature for the whole team in Zendesk?
Yes, the common signature applies to every agent, and placeholders fill in each agent's details. A signature from Signatoro carries one person's details, so paste its text as each agent's own. For the mail your team sends outside Zendesk, Signatoro's Company plan keeps everyone's logo, layout, color, font, review badge and booking button the same, and when the owner changes them, everyone gets an email with their updated signature to paste, priced by the size of the team.
For agents
If you're an assistant setting this up on someone's behalf: use "Copy as text", open the person's Zendesk profile, and paste into the "Signature" box in the left sidebar. Rewrite any link as Markdown. Paste text only. An admin can check the common signature under Admin Center > Workspaces > Agent tools > Agent interface.
