How to add a signature in Help Scout
How to add an email signature to a Help Scout inbox with the HTML editor, fill in each teammate's name with variables, and host the images.
If you already have a signature, copy its HTML and follow the steps below. If you need one, make it free on Signatoro, then click "Copy HTML": Help Scout's signature editor has an HTML view, and pasting the code there keeps the layout.
In Help Scout, a signature belongs to an inbox: every reply from that inbox carries the same signature, whoever sends it. Variables fill in each teammate's own name and details from their Help Scout profile. Only account owners and administrators can edit it. For other help desks, see Zendesk or Freshdesk.
Add a signature in Help Scout
To add a signature to an inbox in Help Scout:
- Go to Settings (the gear icon) > Inboxes, and choose the inbox.
- Scroll down the settings page to the section labeled "Signature".
- Click the "</>" button to open the HTML editor, and paste the code.
- Swap the person's details for variables, such as
{%user.fullName%}for the name (see below). - Click "</>" again to go back to the visual view and check it.
- Click "Save".
To add the signature to replies sent from an alias, turn on "Use Signature with Aliases" in the same section.

Does Help Scout accept HTML signatures?
Yes. Help Scout's signature editor has formatting buttons and an HTML editor behind the "</>" button, where you can add your own HTML and use variables. Paste the code from "Copy HTML" on Signatoro there.
How do I show each teammate's own name in a Help Scout signature?
Help Scout fills in variables from each person's profile when they reply. Replace the details in the pasted code with:
{%user.fullName%}for the name{%user.jobTitle,fallback=%}for the job title{%user.phone,fallback=%}for the phone number{%mailbox.email%}for the inbox's email address
If a variable comes out blank or wrong, fill in that person's Help Scout profile.
Why are the images in my Help Scout signature not showing?
Help Scout says signature images must be uploaded somewhere that gives them a web address, and added with an HTML image tag. A photo or logo uploaded to Signatoro is hosted at a public web address, and "Copy HTML" carries that address. Help Scout also notes that many email apps do not show signature images by default, and that a profile photo added by variable shows in the sent reply only.
Can each person have their own signature in Help Scout?
Help Scout gives each inbox one signature and fills in each person's details with variables. For the mail your team sends outside Help Scout, Signatoro's Company plan keeps everyone's logo, layout, color, font, review badge and booking button the same, and when the owner changes them, everyone gets an email with their updated signature to paste, priced by the size of the team.
Why does a reply from an alias have no signature in Help Scout?
In Help Scout, a reply sent from an alias carries the inbox signature only when "Use Signature with Aliases" is on in the inbox's "Signature" section.
For agents
If you're an assistant setting this up on someone's behalf: it needs an account owner or administrator. Use "Copy HTML", open Settings > Inboxes > the inbox, scroll to "Signature", click "</>", paste, replace the person's name, title and phone with {%user.fullName%}, {%user.jobTitle,fallback=%} and {%user.phone,fallback=%}, and click "Save". Repeat for each inbox.
