How to add an email signature in Rackspace Email

If you already have a signature, copy it and follow the steps below. If you need one, make it free on Signatoro, then click "Copy signature".

This guide is for Rackspace Email in webmail. If your mailbox is Microsoft 365 from Rackspace, you write your email in Outlook: follow the Outlook guide instead.

Add a signature in Rackspace Email

To add a signature in Rackspace Email webmail, create it under "Composing Email" in the settings and paste it in:

1. Sign in to Rackspace Email webmail. Click the menu at the top right of the page, beside your email address (Rackspace's help calls it the "Support" menu), then "Settings".
2. In the left pane, click "Composing Email", then the "Signatures" tab.
3. Click "Add New Signature" and enter a name for it.
4. Paste the signature into the "Edit Signature" area and click "OK".

Turn on your Rackspace signature for new emails, replies and forwards

Rackspace Email webmail inserts a signature by itself only for the cases you tick. In "Settings", "Composing Email", "Signatures":

1. Click the signature's name in the "Current Signatures" list.
2. Tick "Always show signature when composing an email".
3. Tick "When replying to an email, insert my signature" and choose above or below the message body.
4. Tick "When forwarding an email, insert my signature" and choose above or below the message body.
5. Click "Save".

Link the signature to your Rackspace address

Rackspace Email ties a default signature to each identity, the name and address you send from. Setting it keeps the right signature on the right address:

1. In "Settings", "Composing Email", click the "Identities" tab and double-click your email address.
2. Under "Default Signature", pick the signature you made, and click "OK".
3. Click "Save".

Change your Rackspace signature

To change a signature in Rackspace Email webmail, open "Settings", "Composing Email", "Signatures", and select the signature in the "Current Signatures" list. Replace what is in the "Edit Signature" area with the new signature from Signatoro, keep the box in its formatted mode, and save.

Why is my Rackspace signature not showing on new emails?

Rackspace Email webmail adds a signature to new emails only when "Always show signature when composing an email" is ticked. Open "Settings", "Composing Email", "Signatures", click the signature in the "Current Signatures" list, tick that option, and click "Save". While writing, you can also pick a signature by hand from the "From" drop-down.

Why doesn't my Rackspace signature show up when I reply?

Rackspace Email webmail treats replies and forwards as separate cases from new emails. In "Settings", "Composing Email", "Signatures", click the signature in the "Current Signatures" list and tick "When replying to an email, insert my signature" and "When forwarding an email, insert my signature". Choose above or below the message body for each, then click "Save".

Why did my Rackspace signature lose its formatting?

Rackspace warns that switching the signature editor to plain text drops all rich text and HTML formatting. In Rackspace Email webmail, the "Edit Signature" area accepts plain text, HTML or rich text. Open the signature in "Settings", "Composing Email", "Signatures", keep the editor in its formatted mode, paste the signature from Signatoro again, and save.

Why are the images in my Rackspace signature not showing?

Rackspace Email webmail hides images hosted on another server until you allow them, and the photo and logo in a signature from Signatoro load from the web. Click the caution bar at the top of the email to show them. To show them always, open "Settings", "General Settings", the "Email Options" tab, clear "Block external images", and click "Save". The reader's email app may ask the same question.

Can I have a different signature for each address in Rackspace?

Rackspace Email webmail links a signature to each identity. Make one signature per address in "Settings", "Composing Email", "Signatures". Then, on the "Identities" tab, double-click each address, pick its signature under "Default Signature", and click "OK", then "Save". For a single email, switch the identity or signature from the "From" drop-down while writing.

Does my Rackspace webmail signature work in Outlook or on my iPhone?

The Rackspace Email webmail signature is added only to emails sent from webmail. Outlook, Apple Mail and phone apps connected to a Rackspace address keep their own signature setting, so paste the signature into each app too. The Outlook, Apple Mail and iPhone and iPad guides have the steps.

Can my Rackspace signature send my emails to spam?

Rackspace warns that signatures often contain things spam filters flag. Its sending guidance for Rackspace Email lists broken or non-standard HTML, links that use an IP address, and shortened links as spam triggers. Paste the Signatoro signature exactly as copied and keep full web addresses in its links.

If you're an assistant setting this up on someone's behalf: in Rackspace Email webmail, open "Settings", "Composing Email", "Signatures", click "Add New Signature", paste the signature as formatted text exactly as copied into "Edit Signature", and click "OK". Keep the editor in its formatted mode. Then tick the three insertion options on the signature and click "Save", and set it as the "Default Signature" on the person's identity.
