How to add an email signature in Salesforce
How to add your email signature in Salesforce Lightning Experience, add a logo, why a signature goes missing, and which signature Agentforce Engagement emails carry.
If you already have a signature, copy its text and follow the steps below. If you need one, make it free on Signatoro, then click "Copy as text": Salesforce cuts off a signature longer than about 1,333 characters, HTML included, and the text version fits well inside that.
Your Salesforce email signature lives in your own email settings, and Salesforce adds it to the personal emails you send from Salesforce. For another CRM, see the guide for Pipedrive.
Add an email signature in Salesforce
To add an email signature in Salesforce Lightning Experience:
- Click your profile icon in the top right corner, then click "Settings".
- Click "Email", then "My Email Settings". You can also enter "My Email Settings" in the "Quick Find" box on the left.
- Paste your signature into the "Email Signature" field.
- Click "Save".
After a change to your signature on Signatoro, copy it again and paste the new version over the old one.
Salesforce signature questions
Does Salesforce accept HTML signatures?
The "Email Signature" field takes plain text, and Salesforce's help shows HTML tags typed into it, such as an image tag or a link tag. Salesforce truncates a signature longer than about 1,333 characters, tags included. The code from "Copy HTML" on Signatoro runs past that length for most layouts, so paste the text from "Copy as text". Salesforce suggests typing a link tag by hand, since pasting one from another app can bring hidden characters that break the link.
How do I add a logo to my Salesforce signature?
Salesforce adds an image with an HTML image tag in the "Email Signature" field, and the image needs a public web address. Salesforce suggests uploading the image to Files, creating a public link, and copying the image address from that link. A logo uploaded to Signatoro is hosted at a public address, and "Copy HTML" carries that address in the image tag. The image shows in HTML emails only.
Why is my signature missing from a Salesforce email?
In Lightning Experience, inserting a template into an email sent from a non-case record replaces the email and your signature. Inserting a template into an email sent from a case record keeps them. To keep a logo in a templated email, Salesforce says to put the image and signature in the template's body. A template that pulls in your signature with the {{{Sender.Signature}}} merge field treats it as text, so an image tag shows as code.
Which signature do Agentforce Engagement emails carry?
Agentforce Engagement, formerly Agentforce Lead Nurturing, sends outreach from the email account connected to the agent's user record. With "Send as Seller" on, the agent sends from the prospect record owner's email address, with the owner's signature and business hours, and adds an AI disclosure at the start of each email. Each owner needs a working email address connected to Inbox and Einstein Activity Capture turned on. On the earlier Engagement (Legacy) template, turn on "Send as Seller" in agent setup. On the newer Engagement template, set it in the agent's Cadence Settings in Agentforce Builder. For more on signatures for agents that send email, see email signatures for AI agents.
Can I set one signature for the whole team in Salesforce?
Each Salesforce user sets their own signature in My Email Settings. A signature from Signatoro carries one person's details, so each person pastes their own. Signatoro's Company plan keeps everyone's logo, layout, color, font, review badge and booking button the same, and when the owner changes them, everyone gets an email with their updated signature to paste, priced by the size of the team.
For agents
If you're an assistant setting this up on someone's behalf: use "Copy as text", open the profile icon > "Settings" > "Email" > "My Email Settings", paste into "Email Signature", and click "Save". Keep the signature under about 1,333 characters. For an Agentforce Engagement agent with "Send as Seller" on, update each record owner's signature.
