How to add an email signature in Roundcube webmail
Add your email signature in Roundcube, the webmail many cPanel hosts provide, switch it to HTML so the logo and formatting stay, and turn it on for replies.

Roundcube is the webmail that comes with cPanel, so many web hosts give it to you with your hosting plan. If your host's webmail has "Settings" and "Identities", this guide is for you.
Add a signature in Roundcube
In Roundcube, each sender address (an "identity") has its own signature. To add one:
- In Roundcube, click "Settings" in the side menu, then "Identities".
- Select your email address in the list.
- Turn on HTML for the "Signature" box. In current Roundcube, click the small icon at the top left of the box (its tooltip reads "HTML"); in older versions, tick the "HTML signature" checkbox.
- Paste the signature into the "Signature" box and click "Save".
Turn on HTML emails and replies in Roundcube
Roundcube's composing settings decide whether the signature keeps its formatting and whether replies get it. In Roundcube, open "Settings", then "Preferences", then "Composing Messages":
- Set "Compose HTML messages" to "always".
- Set "Automatically add signature" to "always".
- Tick "Place signature below the quoted message" if your replies start above the earlier emails and you want the signature under them.
- Click "Save".
Change your Roundcube signature
To change a signature in Roundcube, open "Settings", then "Identities", and select the address. Delete what is in the "Signature" box, check that HTML is still on for the box, paste the new signature from Signatoro, and click "Save".

Why does my Roundcube signature show as plain text?
A Roundcube signature keeps its formatting only when both the signature and the email are HTML. In "Settings", "Identities", turn on HTML for the "Signature" box (the icon at its top left, or the "HTML signature" checkbox in older versions) before pasting. Then, in "Settings", "Preferences", "Composing Messages", set "Compose HTML messages" to "always". Roundcube ships with it set to "never", though your host may have changed that.
Why is the logo in my Roundcube signature not showing?
In Roundcube, images in a signature appear only in emails written as HTML. Open "Settings", "Preferences", "Composing Messages" and set "Compose HTML messages" to "always", or switch the editor to HTML while writing. The photo and logo in a signature from Signatoro load from the web, so a reader whose email app blocks images sees them after allowing images.
Why doesn't my Roundcube signature show when I reply?
Roundcube adds the signature to replies only when "Automatically add signature" allows it. In "Settings", "Preferences", "Composing Messages", set "Automatically add signature" to "always" or "replies and forwards only", and click "Save". While writing, you can also add it by hand: click "Signature" in the toolbar (its tooltip reads "Insert signature").
How do I remove the "--" line above my Roundcube signature?
Roundcube adds a standard separator line above the signature by itself. To remove it, open "Settings", "Preferences", "Composing Messages", untick "Force standard separator in signatures", and click "Save". Some hosts lock this option, and then it cannot be changed from your account.
Why did the image in my Roundcube signature disappear when I saved it?
Roundcube stores an image you drag or upload into a signature inside the signature itself, and it limits the size: 64 KB per image by default, though your host can change it, and a larger upload is refused. A photo or logo uploaded to Signatoro is hosted at a public web address with a fixed pixel width, so the Roundcube signature holds only a link to it, which keeps it clear of that 64 KB limit. Paste the signature as copied and leave image files out.
Can I use my Roundcube signature in Outlook or on my phone?
The Roundcube signature is added only to emails sent from Roundcube. Outlook, Apple Mail and phone apps connected to the same address keep their own signature setting, so paste the signature into each app too. The Outlook, Apple Mail and iPhone and iPad guides have the steps.
Why can't I add another identity in Roundcube?
Your host decides how many identities Roundcube lets you have and which fields you can edit. Roundcube's settings range from many identities with every field editable down to one identity where only the signature can change. If "Create" is missing under "Settings", "Identities", ask your host.

If you're an assistant setting this up on someone's behalf: in Roundcube, open "Settings", "Identities", select the address, turn on HTML for the "Signature" box before pasting, paste the signature as formatted text exactly as copied, and click "Save". Then, in "Settings", "Preferences", "Composing Messages", set "Compose HTML messages" to "always" and "Automatically add signature" to "always", and click "Save". Roundcube's default is plain-text email, which strips the signature's formatting.
