  • How to add an email signature in IONOS Webmail

    Add your email signature in IONOS Webmail, make it the default for new emails and replies, keep its formatting, and fix it when it does not show up.

    If you already have a signature, copy it and follow the steps below. If you need one, make it free on Signatoro, then click "Copy signature".

    This guide is for IONOS Webmail, the webmail of IONOS Mail Basic and Mail Business. If you have Microsoft 365 or Microsoft Exchange from IONOS, you write your email in Outlook: follow the Outlook guide instead.

    Add a signature in IONOS Webmail

    To add a signature in IONOS Webmail, create a new one in the mail settings and paste it in:

    1. In IONOS Webmail, click the gear icon at the top right, then "All settings...".
    2. Click "Mail", then "Signatures".
    3. Click "Add new signature" and enter a name for it.
    4. Paste the signature into the text field, choose where it should be inserted, and click "Save".

    IONOS Webmail also has "New from template", IONOS's own signature builder. You can skip it when you paste a signature from Signatoro.

    Make your signature the default in IONOS Webmail

    IONOS Webmail adds a signature to new emails by itself only once it is set as the default. In IONOS Webmail, open "All settings...", then "Mail" and "Signatures":

    1. Click "Set default signatures".
    2. Under "Standard signature", pick your signature.
    3. Under "Default signature for reply or forwarding", pick it again.
    4. Click "Save".

    Change your IONOS signature

    To change a signature in IONOS Webmail, open "All settings...", then "Mail" and "Signatures", and click "Edit" next to the signature. Delete what is in the text field, paste the new signature from Signatoro, and save it.

    IONOS signature on iPhone and Android

    IONOS's own help sets up IONOS addresses in the iPhone Mail app and in the Gmail app on Android, and each of those apps keeps a signature of its own, separate from IONOS Webmail. On an iPhone, follow the iPhone and iPad guide. On Android, set the signature in the Gmail app's settings for your IONOS account.

    Why is my IONOS signature not showing on new emails?

    IONOS Webmail adds a saved signature to new emails only after it is set as the default. Open "All settings...", then "Mail" and "Signatures", click "Set default signatures", pick the signature under "Standard signature", and click "Save". Until then, add it by hand while writing: click the three-dot icon at the bottom of the toolbar and pick the signature under "Signatures".

    Why does my IONOS signature not show when I reply?

    IONOS Webmail has a separate default signature for replies and forwards. Open "All settings...", then "Mail" and "Signatures", click "Set default signatures", and pick your signature under "Default signature for reply or forwarding" as well as under "Standard signature". Click "Save", and replies and forwards get the signature too.

    Why did my IONOS signature lose its formatting?

    An IONOS signature keeps its fonts, colors, photo and logo only in an email sent as HTML. In IONOS Webmail, open "All settings...", then "Mail", and under "Compose & Reply" set "Message format" to "HTML" or "HTML and plain text". To fix a single email instead, change the format in the "Editor" area of the new email.

    How do I add a logo to my IONOS email signature?

    To get a logo into an IONOS Webmail signature, add it to your signature on Signatoro, copy the signature, and paste it into the text field in "Mail", "Signatures". IONOS says the text field accepts images and HTML code, so the logo pastes in with the text. A logo uploaded to Signatoro is hosted at a public web address with a fixed pixel width, so it loads from that address when the email opens. Some email apps still ask the reader before showing images from the web.

    Can I have a different signature for each address in IONOS?

    IONOS Webmail keeps a list of signatures, and its help says a default signature can be set for each email account. Add one signature per address in "Mail", "Signatures", then pick each account's default under "Set default signatures". For a single email, choose another signature from the three-dot icon at the bottom of the toolbar while writing.

    Why is my IONOS signature missing when I send from Outlook?

    A signature saved in IONOS Webmail is added only to emails written in IONOS Webmail. Outlook, Thunderbird, Apple Mail and other apps connected to an IONOS address keep their own signature setting, so paste the signature into each app too. The Outlook and Apple Mail guides have the steps.

    For agents

    If you're an assistant setting this up on someone's behalf: in IONOS Webmail, go to the gear icon, "All settings...", "Mail", "Signatures", click "Add new signature", paste the signature as formatted text exactly as copied, and click "Save". Then click "Set default signatures" and pick the signature under both "Standard signature" and "Default signature for reply or forwarding": IONOS adds the signature by itself only after that. For Microsoft 365 or Exchange from IONOS, use the Outlook guide instead.
