A recruiter email signature for your whole staffing team

Set the firm's name, logo and equal opportunity line once. Each recruiter, account manager and coordinator adds their own name, title and photo.

What to include

  • Name and title, such as Senior Recruiter or Account Manager.
  • The firm name, logo and website.
  • A direct phone and email, and each recruiter's own booking link if they use one.
  • An equal opportunity line naming at least disability and vet for federal contractor work.
  • For a California employment agency, the agency name with its address or phone number.

What the federal contractor rules say

These are the primary sources, quoted or summarized, for staffing firms that work as or for federal contractors. No source found says whether a single recruiter email counts as a "solicitation or advertisement." Signatoro is not a law firm, and this is not legal advice.

  • 41 CFR 60-1.4(a)(2): solicitations state that applicants receive consideration without regard to race, color, religion, sex, sexual orientation, gender identity or national origin. On the Up to 15 plan or larger, the firm writes its equal opportunity line once as the company footnote on Signatoro, and it sits under every recruiter's signature in the same words. Questions people ask

Does a recruiter's email signature need an equal opportunity line?

For federal contractors, the veteran and disability rules cover all solicitations or advertisements for employees. No regulation or OFCCP FAQ checked here says whether a single recruiter email is one. A line under every email fits either reading.

What is the shortest equal opportunity wording?

OFCCP's FAQs accept "Equal Opportunity Employer" with "veteran status" or at least "vet" added, and "disability" for the disability clause. Single letters such as "D" and "V" are not enough.

What changes in October 2026?

The rules under Executive Order 11246, including the race, sex and national origin statement in 41 CFR 60-1.4, are rescinded effective October 26, 2026. The veteran and disability statements stay in force.

Can our signatures carry a booking link?

Yes. The firm sets one Calendly or Cal.com booking button, such as its scheduling page, and it sits under every recruiter's signature with the firm's name, logo and equal opportunity line. Each recruiter can also add a link of their own, such as "Book a call" to their own calendar.
