A CEO email signature that matches the rest of the company

The founder's signature uses the same logo and layout as everyone else's, with their own name, title and photo, and the executive assistant's signature next to it.

What to include

  • Name and title, such as Founder and CEO.
  • The company name, logo and layout the rest of the company uses.
  • A direct phone or an assistant's contact for scheduling.
  • For a UK company: registered name, number, place of registration and office address in the footer.
  • Directors named in the footer only if every director is.

What UK company law says about directors in an email signature

For companies registered in the UK. These are the primary sources, quoted or summarized. Signatoro is not a law firm, and this is not legal advice.

  • SI 2015/17, regulation 26(1): "Where a company's business letter includes the name of any director of that company, other than in the text or as a signatory, the letter must disclose the name of every director of that company." SI 2015/17, regulation 26
  • Regulation 25: business letters, order forms and websites show the part of the UK where the company is registered, its registered number and its registered office address. SI 2015/17, regulation 25
  • Regulation 29(c): a reference to a type of document "is a reference to a document of that type in hard copy, electronic or any other form", so the rules reach email. SI 2015/17, Part 6

The founder's signature is the company's signature

A CEO writes to investors, customers and new hires. On Signatoro the founder's signature is built from the same company settings as everyone else's, and an AI assistant that drafts for the CEO fetches that signature at send time.

Questions people ask

Can a UK CEO sign with their name and title?

Yes. Regulation 26 covers a director named "other than in the text or as a signatory", so signing as the signatory does not trigger the rule to list every director.

What if the footer names the founders?

If a business letter names any director outside the text or the signature block, regulation 26 requires it to name every director. Keeping directors out of the shared footer avoids that.

What goes in an executive assistant's signature?

Their own name and title, often "Executive Assistant to the CEO", on the same company layout as the CEO's, so recipients see both signatures come from one company.

Should the CEO's signature look different from the team's?

It carries the same logo and layout as everyone else's, and the company footnote on the Up to 15 plan or larger, with the CEO's own name, title and photo. The company's look is the same whoever sends.

Built into every signature

  • Logo and photo support, hosted so they show without attachments.
  • A shared company footer - logo, layout, color, font, review badge and booking button - that every member's signature follows.
  • A compliance footnote the owner writes once, shown under every member's signature.
