A church email signature for your pastors and staff

Set the church name, logo and a shared line such as your service times once. Each pastor and staff member adds their own name, title and photo.

What to include

  • Name with a title such as Rev., Pastor or Director, as the church uses it.
  • The church name, logo and website.
  • Phone and email for the church office.
  • Service times or the address as a shared line under every signature.
  • Church business only: IRS Publication 1828 keeps candidate endorsements out of official church communication.

What the IRS and church guidelines say

These are the primary sources, quoted or summarized. Signatoro is not a law firm, and this is not legal or tax advice.

  • IRS Publication 1828: "religious leaders can't make partisan comments in official organization publications or at official church functions." IRS Publication 1828
  • IRS Publication 1828: leaders speaking for themselves "are encouraged to clearly indicate that their comments are personal and not intended to represent the views of the organization." In one of its examples, an ad lists a minister's church with the line "Titles and affiliations of each individual are provided for identification purposes only." IRS Publication 1828
  • Diocese of Grand Rapids style guide: "do not include additional phrases, slogans, bible verses or quotes as part of your regular signature block." Diocese of Grand Rapids style guide
  • Diocese of Charleston: its official email signature template ends with the diocese's mission statement, which cites Matthew 28:16-20, followed by a confidentiality notice. Diocese of Charleston signature template

One shared line for the whole church

The shared line under every signature is the company footnote, on the Up to 15 plan or larger, and a good home for service times or the church address. The church writes it once on Signatoro, and when the times change, everyone gets their updated signature by email to paste.

Questions people ask

Can a pastor's email signature endorse a candidate?

IRS Publication 1828 says religious leaders cannot make partisan comments in official organization publications or at official church functions, and church email is a church communication. A leader speaking personally is encouraged to say the comments are their own.

Should a church email signature include a Bible verse?

Churches decide differently. The Diocese of Grand Rapids keeps verses and quotes out of staff signatures; the Diocese of Charleston builds a scripture citation into its official template. A shared line set by the church puts the same verse, or none, on everyone's signature.

What goes in a pastor's email signature?

Name, title, the church name, a phone number and the website, with the church logo where the church uses one. Service times or the address fit the shared line under every signature.

Can volunteers use the church signature?

Anyone the church invites on Signatoro gets the same layout, and the shared line where the church uses one, with their own name and role, so a volunteer coordinator signs like staff.

Built into every signature

  • A shared company footer - logo, layout, color, font, review badge and booking button - that every member's signature follows.
  • Logo and photo support, hosted so they show without attachments.
