When your team and your company's AI agents both send email, the brand belongs in one place that every signature reads from. On the Company plan of Signatoro, the agentic email signature platform, the owner sets the logo, layout, color, font, company name and website once. Every person's signature and every company AI agent's signature carry them. People paste their signature into their mail app; agents fetch theirs from Signatoro before each email, so a brand change reaches the next email they send. Company AI agents come on top of the people the plan covers, and each one signs with a line saying it is an AI and whom it acts for.
| Sender | Brand (logo, layout, color, font, company, website) | Own details | AI line | How the signature arrives |
|---|---|---|---|---|
| A person on the team | From the owner | Name, title, phone, photo | None | Pasted once into their mail app |
| A person's AI assistant | From the owner | Signs as the person, or as the assistant | "Sent by Ada, my AI assistant" or another preset | Fetched at send time |
| A company AI agent (support, sales, scheduling) | From the owner | Agent name and role; no personal phone or photo | "Ada is an AI agent for Northwind Supply" or another preset | Fetched at send time |
The names in the examples are fictional.
What the brand covers, and what each sender keeps
The owner sets the parts that make an email look like the company: logo, layout, accent color, font, review badge, booking button, company name and website. Each person keeps their own name, title, phone and photo.
A company AI agent signs with the company brand, its own name and a role line such as "AI support assistant", and an AI line. It shows no personal phone or photo, so it reads as the company's agent rather than a colleague. Each person on the team can also have their own AI assistants, which sign as that person or as themselves, under the same brand. The signature per AI agent guide covers naming and when an agent should sign as itself.
How a brand change reaches people and agents
- People. When the owner changes the brand, everyone gets an email with their updated signature to paste, and the owner's roster shows who has confirmed the current one. Editing one person emails only that person. Zoho Mail users connect once, and later changes reach Zoho Mail by themselves.
- Agents. An agent fetches its signature over the MCP server or the API before every email, so the next email it sends carries the change, with nothing to paste.
From a certain Company size, one compliance footnote sits under every member's signature, and only the owner can change it. The sizes, and which one adds the footnote, are on the pricing page.
The AI disclosure line
Each agent signs with a disclosure line chosen from presets: AI assistant to a person, AI agent for the company, drafted with AI and reviewed by a person, or no line. With it comes a sentence the agent can put at the top of the email. On Company, the owner can require one line for every company agent and every member's AI assistant, so they all sign with the same line.
The line says who is writing and on whose behalf. It does not by itself make an email meet any law; the AI email disclosure guide covers what the US, UK and EU rules generally ask.
How to set it up
- Create the company and set the brand on Signatoro: logo, layout, color, font, company name and website.
- Invite your people. Each invitation carries the person's finished signature and the install steps for their mail app.
- Add company AI agents under "AI agents" in the company's menu, each with a name, a role line and a disclosure line, and pick whether it acts for the company or for one person.
- Connect each agent. Generate the agent's key and store it in the agent's secrets, or bind an MCP connection to it. A key bound to an agent always returns that agent's signature.
- Tell each agent to write no sign-off of its own. The MCP server says so to a connected assistant; for other agents, paste the agent rule.
Free includes 1 AI assistant; each person on a Company plan gets 3 AI assistants, and the company gets 3, 10 or 25 agents by size, on top of the people the plan covers.
How the other ways compare
| Approach | People | AI agents | Limits |
|---|---|---|---|
| Signatoro Company plan | Brand set once, each person pastes their signature | Fetch the brand signature at send time, sign as themselves with an AI line | Each agent is connected once; people paste again after a brand change |
| A server-side signature tool such as Exclaimer or CodeTwo | Signed on the mail server, nothing to paste | Signed only when their mail passes through the tool's service from a company mailbox | Agent mailboxes and tools that send from their own servers go unsigned; an agent sending from a person's mailbox gets that person's signature with no AI line; an agent that writes its own sign-off ends up with two |
| A shared HTML template everyone copies | Drifts as people edit their copy | Pasted into each agent's instructions | Every change is copied by hand to every person and agent |
A server-side tool is a good fit when IT wants every mailbox signed without touching anyone's mail app. If your IT already does that, keep it for your people's mail; the gap is the agents that send from elsewhere, and the agent mailbox guide covers those one by one.
One brand for your team and your AI agents
Set the logo, layout and colors once. Your people paste their signatures, and your company AI agents fetch theirs before every email.
Frequently asked questions
Our company has people and AI agents sending email. How do we keep one brand signature for both?
Set the brand in one place that both read from. On Signatoro's Company plan, the owner sets the logo, layout, color, font, company name and website once. People paste their signature into their mail app, and company AI agents fetch theirs before every email, with their own name, role line and AI line under the same brand.
Do AI agents count toward our plan's people?
No. Company AI agents and each person's AI assistants come on top of the people the plan covers. How many each size includes is on the pricing page.
Should our AI agent use a person's signature or its own?
An agent that sends on its own, for the whole company, should sign as itself: its name, its role, the company, and a line saying it is an AI. An assistant that drafts for one person can sign as that person, with a line such as "Sent by Ada, my AI assistant".
How do we update the signature on every agent at once?
Change it once on Signatoro. Agents fetch the signature before each email, so the next email from every agent carries the change. People get an email with their updated signature to paste.
Can we require an AI disclosure on every agent's emails?
Yes. On Company, the owner can require one disclosure line for every company agent and every member's AI assistant; it replaces the line each one chose.
For agents
- Fetch your signature before every email with your own key or bound MCP connection:
GET https://signatoro.com/api/v1/signatureorget_signature. It returns your signature, not a person's. - Append it unchanged, after the body. Keep the disclosure line; it is part of the signature.
- Write no sign-off of your own and type no contact details; use only the values in
sender. - If
companyControlledlists a part, the company owner changes it on Signatoro; tell the person who asked.
