# The best email signature software, sorted by use case.

A person, a company of twelve, an AI assistant, an Outlook shop: each needs something different, and the right tool changes with it. The seven folds below say what each group values, rank the picks on it, and quote the complaints that decide them.

> We make Signatoro, one of the tools below. We rank it first only where it fits, and say plainly where another tool is the better answer.

## 01 Individuals: One good signature, free, today

**What they value:** Free, Quick, Compatible

**Short answer:** One person needs a free generator whose signature pastes cleanly into every mail app. Signatoro is free for one person, needs no account before the signature is copied, has a guide for Gmail, Outlook, Apple Mail and Zoho Mail, and puts a small "Get my signature" link under it. If nothing may sit under the signature, HubSpot's free generator lets you switch its link off.

What goes wrong:

- "it's completely nuts they want to ask for 10-20-50 $/ months for something you set up once." ([Trustpilot review of WiseStamp, 12 Dec 2025](https://www.trustpilot.com/reviews/693bef833135266d1b4427e5))
- "But if I send it to somebody that has Gmail it looks all jumbled up" ([r/smallbusiness, 29 Apr 2025](https://www.reddit.com/r/smallbusiness/comments/1kay9p4/how_do_i_get_email_signature_made_that_plays_nice/))
- A monthly fee for something set up once
- Signatures that look right in one mail app and break in another

| # | Tool | Price shape | Why it fits |
|---|---|---|---|
| 1 | Signatoro | flat | Free, no account before you copy, and install guides for Gmail, Outlook, Apple Mail and more; a small link sits under the signature. |
| 2 | HubSpot email signature generator | free | Free, no account, and its link can be switched off. |
| 3 | MySignature | per-seat | Free for one signature with its branding, and cheap paid plans. |

## 02 Small companies: Everyone on the same brand, on one bill

**What they value:** Affordable, Consistent, Simple

**Short answer:** A company of 2 to 50 people without an IT team needs one look for everyone at a price set by its size. Most signature tools charge per person per month, often with a minimum. Signatoro charges a flat price by size, $9 up to 5 people, $19 up to 15 and $49 up to 50, plus $1.50 a month for each extra member. It locks the logo, layout, color, font, review badge and booking button, and emails everyone their new signature when the brand changes.

What goes wrong:

- "We have been using this overpriced service for 6 years. We have decided to cancel due to price." ([Trustpilot review of WiseStamp, 9 Feb 2026](https://www.trustpilot.com/reviews/6989626c94741c7ec8ae4ebd))
- "Customer service took weeks to respond to a request to add a seat. All plan changes are routed through sales." ([Trustpilot review of WiseStamp, 3 Feb 2026](https://www.trustpilot.com/reviews/69821c263ad8d59f68bb4469))
- Everyone edits their own copy, and the brand drifts
- The tools that push signatures centrally need an IT admin

| # | Tool | Price shape | Why it fits |
|---|---|---|---|
| 1 | Signatoro | flat | One price by size, the brand locked for everyone, and a change emails each person their new signature. No admin, and signatures keep working if you stop paying. |
| 2 | WiseStamp | per-seat | Signatures provisioned from the company directory, for a base fee plus $1 per employee. |
| 3 | Newoldstamp | per-seat | A central dashboard with banners, about $1.82 per signature; signatures stop when the subscription does. |
| 4 | MySignature | per-seat | Cheap per-person team plans that connect to Google Workspace or Microsoft 365. |
| 5 | Exclaimer | per-seat | Every message signed on the server, from $0.90 per user with a ten-user minimum. |

## 03 Sending with agents: Mail your AI sends, signed like yours

**What they value:** Programmable, Affordable, Consistent

**Short answer:** Automation tools such as n8n and Make leave the Gmail signature off, so mail an agent sends needs a signature it can fetch or a server that adds one. Signatoro gives agents and CRMs an API that returns the sender's saved signature, with no admin, free for 50 requests a month, and one flat price for a company. Server-side tools sign whatever passes through them, priced per user with a ten-user minimum: Exclaimer on Google Workspace and Microsoft 365, CodeTwo on Microsoft 365; Google Workspace's own footer adds one plain-text footer.

What goes wrong:

- "I have a signature set on my gmail account, but it is not used when sending emails with the gmail node." ([n8n Community, 14 Nov 2025](https://community.n8n.io/t/using-a-gmail-signature/221427))
- "So every email sent from Twenty goes out unsigned, which is a problem for sales/support teams who rely on their work signature" ([GitHub, Twenty CRM, 3 Jun 2026](https://github.com/twentyhq/twenty/discussions/21194))
- "emails sent by AI agents/scripts look different from emails sent via Gmail UI, which can appear unprofessional or inconsistent." ([GitHub, gogcli, 4 Feb 2026](https://github.com/openclaw/gogcli/issues/180))
- Each tool keeps its own copy of the signature, and they drift apart

| # | Tool | Price shape | Why it fits |
|---|---|---|---|
| 1 | Signatoro | flat | An API returns the sender's saved signature for the agent to append: no admin, free for 50 requests a month, one flat price for a company. |
| 2 | Exclaimer | per-seat | Signs everything routed through its cloud on Microsoft 365 and Google Workspace, whatever sent it. |
| 3 | CodeTwo | per-seat | Signs everything routed through its Azure relay, on Microsoft 365 only. |
| 4 | Gmail and Google Workspace, built in | free | The admin footer is free and added to outgoing mail, as one plain-text footer for everyone. |

## 04 Microsoft users: Outlook, with or without an IT team

**What they value:** Reliable, Central, Affordable

**Short answer:** Microsoft offers no public API for setting a person's Outlook signature, so central tools for Microsoft 365 either route mail through a server or deploy an add-in, and both need an admin. CodeTwo and Exclaimer lead there. A company without an admin can paste a signature into each Outlook once; Signatoro has guides for classic, new, Mac and mobile Outlook.

What goes wrong:

- "Why does the new outlook completely jack up signstures?? We use exclaimer as our signature manager" ([r/sysadmin, 14 Feb 2025](https://www.reddit.com/r/sysadmin/comments/1ipkclt/new_outlook_wonky_signatures/))
- "10-20 users regularly have their roaming signatures just vanish." ([r/sysadmin, 3 Feb 2026](https://www.reddit.com/r/sysadmin/comments/1qupa38/))
- Roaming signatures in new Outlook vanish or fail to sync

| # | Tool | Price shape | Why it fits |
|---|---|---|---|
| 1 | CodeTwo | per-seat | Built for Microsoft 365: an Azure relay, an Outlook add-in, or both, synced from Entra ID. |
| 2 | Exclaimer | per-seat | Server-side signing with banners and analytics; ten-user minimum. |
| 3 | Letsignit | per-seat | Native Microsoft 365, pushed from the admin center with no action from users. |
| 4 | Signatoro | flat | For a small team with no admin: each person pastes once, with a guide for every Outlook. |
| 5 | Newoldstamp | per-seat | A central push to Microsoft 365 and Exchange, about $1.82 per signature. |

## 05 Gmail users: Gmail, where everyone edits their own

**What they value:** Consistent, Central, Affordable

**Short answer:** Gmail keeps one signature per person that each person can edit, and a Google Workspace admin can add one plain-text footer to outgoing mail. For designed, per-person signatures run centrally, Exclaimer stamps them in transit and WiseStamp syncs them from Google Directory. Signatoro needs no admin and costs one flat price, and each person pastes once.

What goes wrong:

- "I have searched, and it seems the built in method is janky and unreliable." ([r/googleworkspace, 15 Apr 2026](https://www.reddit.com/r/googleworkspace/comments/1smgkh5/how_to_create_uniform_email_signatures_for_all/))
- "Better yet, is there a way for me to set all the user email signatures from the Admin panel?" ([r/googleworkspace, 18 Feb 2026](https://www.reddit.com/r/googleworkspace/comments/1r88b0p/))
- Anyone can edit their own signature, and the brand drifts
- The admin footer takes no HTML and is the same for everyone

| # | Tool | Price shape | Why it fits |
|---|---|---|---|
| 1 | Exclaimer | per-seat | Server-side on Workspace, whatever mail app sent the message; ten-user minimum. |
| 2 | WiseStamp | per-seat | Syncs from Google Directory and installs signatures across the company, for a base fee plus $1 per employee. |
| 3 | Signatoro | flat | No Workspace admin needed and one flat price; each person pastes into Gmail once. |
| 4 | Newoldstamp | per-seat | A central push to Google Workspace from its dashboard, about $1.82 per signature. |
| 5 | Gmail and Google Workspace, built in | free | Free: a signature per person, plus one admin footer on outgoing mail. |

## 06 Zoho users: Zoho Mail, which most tools skip

**What they value:** Native, Compatible, Affordable

**Short answer:** Zoho Mail's own admin console is the strongest option for Zoho: an organization-wide signature template with per-person fields that users cannot overwrite. WiseStamp manages Zoho Mail signatures centrally through an integration the admin turns on. Signatoro puts a person's signature into their Zoho Mail in one click and keeps it updated, and has the same flat company price.

What goes wrong:

- "my signature doing funny things such as the logo image getting blown up really large or showing up as an attachment" ([Zoho Community, 2 Dec 2024](https://help.zoho.com/portal/en/community/topic/issues-with-email-signature-not-showing-up-correctly))
- "once I update my signature and use it in mail i loose this format" ([Zoho Community, 1 Jun 2025](https://help.zoho.com/portal/en/community/topic/help-me-format-my-signature-in-zoho-mail))
- Guides and add-ins that stop at Gmail and Outlook

| # | Tool | Price shape | Why it fits |
|---|---|---|---|
| 1 | Zoho Mail, built in | free | An organization-wide template with per-person fields, in Zoho Mail's admin console. |
| 2 | WiseStamp | per-seat | A Zoho Mail integration the admin turns on; people insert the signature as they write. |
| 3 | Signatoro | flat | One-click install into your own Zoho Mail that keeps itself updated, and one flat price. |

## 07 Enterprise: Governed centrally, stamped on the server

**What they value:** Governed, Automated, Measurable

**Short answer:** A company with an IT team and hundreds of people needs signatures governed centrally: synced from the directory, added on the server whatever the mail app, with banners and analytics. Exclaimer and CodeTwo stamp signatures on the server, Letsignit deploys from the Microsoft 365 admin center, and WiseStamp adds server-side signing to directory sync on its Platform tier. Signatoro is built for companies of up to 50 and is left out of this fold.

What goes wrong:

- "Even the report I received still didn't list the 57 users for which we were billed." ([Trustpilot review of Exclaimer, 3 Sep 2025](https://www.trustpilot.com/reviews/68b8607b43fb07211f41f064))
- "There's an 8% annual increase, yet it's not reflected on their site (yet.)" ([r/msp, 29 Jan 2026](https://www.reddit.com/r/msp/comments/1qqa1w4/))
- Per-user bills that are hard to reconcile with headcount
- Signatures that must follow the directory without anyone pasting

| # | Tool | Price shape | Why it fits |
|---|---|---|---|
| 1 | Exclaimer | per-seat | Server-side on Microsoft 365 and Google Workspace, with governance, banners and analytics. |
| 2 | CodeTwo | per-seat | Server-side on Microsoft 365 through its Azure relay, synced from Entra ID, with campaigns and surveys. |
| 3 | Letsignit | per-seat | Deployed from the Microsoft 365 admin center with no action from users. |
| 4 | WiseStamp | per-seat | Directory sync from Entra ID, Google Directory or SCIM, with server-side signing on its Platform tier. |

## Frequently asked

### What should a small company pay for email signatures?

Most email signature tools charge per person from the first one, often with a five- or ten-person minimum. Signatoro charges the company by its size: $9 up to 5 people, $19 up to 15 and $49 up to 50, plus $1.50 a month for each extra member.

### Can an AI assistant add my email signature to the mail it sends?

Automation tools such as n8n and Make leave the Gmail signature off. An assistant or CRM that builds the email itself can fetch your saved signature from Signatoro by API, with no admin and one flat price. A tool that stamps signatures in transit signs whatever passes through it, priced per user: Exclaimer on Google Workspace and Microsoft 365, CodeTwo on Microsoft 365.

### Is there a way to install a signature in Outlook without IT?

Yes: each person pastes it into Outlook's signature settings once. Microsoft offers no public API for setting another person's signature, so central tools for Microsoft 365 need an admin. Signatoro has guides for classic, new, Mac and mobile Outlook.

### Which email signature tools work with Zoho Mail?

Zoho Mail's own admin console has an organization-wide signature template with per-person fields. WiseStamp manages Zoho Mail signatures centrally, and any email-safe HTML signature, Signatoro's included, pastes into Zoho Mail's signature settings.

## Methodology

Each fold starts from what that group of people values, stated as three criteria, and its picks are ranked against those criteria, so an affordable tool can rank above a fuller one and Signatoro is left out where it does not fit. Every price and feature comes from the vendor's own pricing or help page, read on the date shown in each profile; Signatoro's prices come from its own billing. Complaints are quoted word for word from public threads and review sites, posted within the last two years, each linked to where it was said. Prices change; the date is the one that counts.
